DepEd Region 7 Enrollment Procedure for School Year (SY) 2020-2021

Attached please find is DepEd Region 7 Regional Memorandum No. 0262, s. 2020 entitled: “Enrollment Procedure for School Year (SY) 2020-2021” which is self-explanatory.

  1. In response to the disruptions brought by the COVID-19 pandemic, and with the recent developments on the quarantine status in the areas of Region 7, the Department of Education (DepEd) Regional Office (RO) 7 issues the enclosed Enrollment Procedure for School Year (SY) 2020-2021.
  2. The goal of this Enrollment Procedure is to establish a smooth and efficient enrollment process operating in the new normal, a shift from physical to digital registration or admission.
  3. This procedure stipulates the enrollment options, activities, processes, reminders, roles and responsibilities of all concerned personnel.
  4. This is also in support to DepEd and Philippine Government’s overall efforts in making informed, and coordinated response in addressing this public health crisis.
  5. All concerned officials are directed to properly inform the public of the enrollment scheme that school/s will adopt, and comply with the DepEd policies and minimum requirements of the Department of Health (DOH)/IATF-COVID-19 in the conduct of such activities.
  6. This memorandum shall serve as guide to a proactive step in managing the digital transformation accelerated by the said disruptive event.
  7. For the information, proper guidance, and compliance of all concerned.

DEPED REGION 7 ENROLLMENT PROCEDURE FOR SCHOOL YEAR (SY) 2020-2021

To make sure that DepEd Region 7 meets the expectations and commitment of the Department of Education (DepEd) in ensuring educational continuity amidst the challenges, this procedure offers support to the Schools Division Offices (SDOs) and Learning Centers (LCs) by providing the different options for enrollment that suit the needs of all stakeholders.

Schools may adopt more than one options, consider the data/information gathered during the early registration conducted last January 2020, and must strictly adhere to the provisions of DepEd Order No. 7, s. 2020 on enrollment and other related activities.

For fast and easy gathering of data/information, enrollment/registration of old students (Grade 1-6 and Grade 7-10 & 12) shall be done by the advisers from SY 2019-2020 by contacting the learners/parents/guardians, and the following suggested questions will be asked:

  1. What learning modality do you prefer? (Distance, Blended, Face-to-Face)
  2. What gadgets/devices are available at home which can be used for learning? (Cellphone/Personal Computer (PC)/TV, Etc.)
  3. Do you have access to the internet? (Wifi or Cellular Data)
  4. Is there anybody in your household who can provide instructional support to distance learning?

Note: Advisers and other personnel must be properly oriented in the enrollment process that the school may adopt.

DEPED REGION 7 ENROLLMENT OPTIONS FOR SCHOOL YEAR (SY) 2020-2021

ENROLLMENT OPTION 1 – FACE-TO-FACE ENROLLMENT

In extreme cases, schools may opt for a face-to-face enrollment for learners who don’t have access to the internet and gadgets, and remote or online enrollment is not possible. This option is only applicable for areas where the quarantine status has been lifted or areas with GCQ status.

Reminders:

Strict adherence to the hygiene and safety protocols set by the DOH. The following minimum requirements must be in placed before June 1, 2020:

a. Personnel assigned to check the body temperature, and provide sanitizer and foot bath to all persons who will get inside the school premises

b. Signage on the observance of proper physical distancing and wearing of face mask

c. Assigned personnel to conduct regular cleaning and disinfection to environment surfaces

Enrollment process must be done within three (3) minutes only to avoid prolonged contact between school officials and parent/guardian.

Schedule as to what barangay, purok, or grade level is allowed to enroll in a certain day must be widely and properly disseminated to the public.

Schools must establish a daily limit on the number of enrollees.

Year-End clearance for old students is strictly prohibited.

  3. A reply message must be sent to the sender confirming that the data/information has been recorded.

ENROLLMENT OPTION 3 – VIA EMAIL

ENROLLMENT OPTION 4 – VIA GOOGLE FORM

Reminder:

Schools Division Offices (SDOs)/Schools may prepare an enrollment form through the Google Forms following the format found in Enclosure No. 4 of DepEd Order No. 7, s. 2020.
