DepEd Electronic Class Record (ECR) Templates

The Department of Education (DepEd) provides these Electronic Class Record (ECR) Templates free for use by all public school teachers. The templates allow for computation of grades consistent with DepEd Order No. 8, s. 2015, also known as the Policy Guidelines on Classroom Assessment for the K to 12 Basic Education Program.

To ensure sustainability and to minimize technical difficulty, the designed templates were simplified using basic features used in a spreadsheet file. User manuals are also provided to guide teachers on how to use the ECR templates.

PROVISION OF THE DEPED ELECTRONIC CLASS RECORD TEMPLATE

  1. In line with the implementation of DepEd Order No. 8, s. 2015 entitled Policy Guidelines on Classroom Assessment for the K to 12 Basic Education Program, the Department of Education (DepEd) provides an Electronic Class Record Template free for use by all public school teachers beginning School Year (SY) 2015-2016. This official electronic version, developed by teachers and other personnel who volunteered their time and talent, allows for computation of grades consistent with the abovementioned DepEd Order.
  2. To ensure sustainability and to minimize technical difficulty, the design was simplified using basic features in a spreadsheet file.
  3. Teachers can download this file from the DepEd official website and from the Learner Information System (LIS) website.
  4. The Division Information Technology Officer or designated Information Communication Technology (ICT) Coordinator is encouraged to conduct an orientation for school personnel and extend technical assistance to promote the use of this Electronic Class Record.
  5. This Department is currently developing modules to link this with current school forms and the LIS. Updates will be disseminated in subsequent Memorandum.

The Electronic Class Record User Manual For Grades 1-3

How to Use the E-Class Record

For Grades I, II, III (Self-contained Class)

1. Advisers must have a soft copy of the School Form I (downloaded from here).

2. From your downloaded E-Class Record files, open the file of the Grading period you want to work on.

3. Click on the “INPUT DATA” sheet. Fill in the boxes with the correct information.

4. Copy first the names of the male learners from the SF1 and paste them under MALE LEARNERS’ NAME column. Afterwards, copy the names of female learners from the SF1 and paste them under FEMALE LEARNERS’ NAME column. If the SF1 is not yet available, manually encode the names of learners.

5. After completing the “INPUT DATA” sheet, click on the subject you want to work on.

6. Encode firs the HIGHEST POSSIBLE SCORES before encoding the learners’ raw scores in the Written Works, Performance Tasks and Quarterly Assessment.

Note: There are 10 columns under Written Works and Performance Tasks, if you got only seven written works or performance task in a quarter, just fill in the seven columns and leave the rest blank. No need to delete columns.

If you have more than 10 written works and performance tasks, combine two or more scores to fit in the 10 columns.

7. Upon successfully completing all the data needed, Initial Grade is automatically transmuted to give you the Quarterly Grade. Quarterly Grade is the one reflected on the Report Card.

8. If you are done with all the subjects , click the SUMMARY of QUARTERLY GRADE sheet to view the consolidated quarterly grades.

IMPORTANT REMINDERS

  1. Keep learners’ name from first quarter to fourth quarter in the input data sheet. Do not delete the names of learners who are transferred out/dropped out.
  2. Hide unused rows but keep two rows at the end of the last learner’s name in each male and female rows to give way for names of possible transferred-in learners within the school year.
  3. The names of transferred in learners, after the first quarter and the succeeding quarters, must be placed after the last learner’s name in the male/female column.
  4. A warning will appear in the e-class record when you encode a raw score higher than the highest possible score. Just click retry or cancel to continue and encode the correct raw score.
  5. The standard printing size is A4.
  6. In case of technical problems that you may encounter while using the Official E-Class Record, please ask assistance first from your fellow computer-skilled teachers.

The Electronic Class Record User Manual For Grades 4 – 6

The E-Class Record consists of all the learning areas in the elementary level (Grades 4-6).
Learning Areas in Grades 4 – 6 Filipino, English, Math, Science, Araling Panlipunan, EPP, Music, Arts, P.E, Health, and EsP.

How to Use the E-Class Record

1. The subject teachers must secure a soft copy of SF1 (downloaded from LIS) or get a list of learners from the class adviser.

2. After downloading the subject, make copies of the subject depending upon the number of sections you are handling and place them in one folder; then, rename each file according to the name of each section. Afterwards, click the file of the section you are going to work on.

3. Click on the “INPUT DATA” sheet.

4. In the INPUT DATA sheet, fill out the boxes with the correct information.

5. Copy first the names of the male learners from the SF1 and paste them under MALE LEARNERS’ NAME column. Afterwards, copy the names of female learners from the SF1 and paste them under FEMALE LEARNERS’ NAME column. If the SF1 is not yet available, manually encode the names of learners.

6. After completing the INPUT DATA sheet, click on the grading period you are working on. For example, if you are an English teacher and you are working on first quarter e-class record, simply click the sheet of ENGLISH_Q1 as shown below:

7. Input first the HIGHEST POSSIBLE SCORES in each component to avoid errors.

8. Proceed encoding the raw scores of the pupils in the Written Works, Performance Tasks and Quarterly Assessment.

9. Upon successfully completing all the data needed, the Initial Grade is automatically transmuted to give you the Quarterly Grade. The Quarterly Grade is the grade to be encoded on the Report Card (Form 138) and Student’s Permanent Record (Form 137).

10. You may now print the SUMMARY OF QUARTERLY GRADES sheet and give it to the class adviser for consolidation.

IMPORTANT REMINDERS

How to Use the E-Class Record

  1. The subject teachers must secure a soft copy of SF1 (downloaded from LIS) or get a list of learners from the class adviser.

    hello po. just want to inquire what are the components that make up the performance task for science and what is the percentage for each component. are these components and percentages the same in all the schools nationwide or does it depend on the teacher?
    I am asking because my niece is in the science program in elementary (she is in grade 2). her teacher refused to give the components and corresponding percentages. what is the deal with homework and not accepting late homework from a grade 2 student?
